Saved replies – also called canned responses or text snippets – are prewritten answers your team inserts with a few keystrokes. They're the fastest way to answer the questions you get every day, and when they're written well, customers can't tell the difference from a reply typed from scratch.
Below are 50 saved replies for customer service you can copy and adapt, sorted by situation. After that: how to name, organise and personalise them so they save time without sounding robotic.
Before you copy: three rules
- Always personalise the first line. Use the customer's name and refer to what they actually asked. The template does the rest.
- Fill every placeholder. Everything in [square brackets] needs replacing before you send. A "[name]" reaching a customer is worse than no template.
- Write how you speak. Adjust tone, emoji and sign-off to your brand. These templates are deliberately plain so they fit most voices.
Greetings and first replies (1–6)
- Hello: "Hi [name], thanks for reaching out! Let me take a look at that for you."
- Need a moment: "Good question – give me a minute to check, and I'll be right back."
- Returning customer: "Hi [name], great to hear from you again! How can I help today?"
- Clarify the question: "Thanks for your message! Just so I get this right: are you asking about [option A] or [option B]?"
- Need more details: "Happy to help. Could you send me [order number / a screenshot / the email address on your account]? Then I can look it up straight away."
- Late reply: "Hi [name], sorry for the wait – thanks for your patience. Here's what I found:"
Orders and shipping (7–14)
- Delivery time: "Orders placed before [time] on a business day ship the same day. Delivery within [country] usually takes [x–y] business days."
- Where is my order? "Your order [number] left our warehouse on [date]. You can follow it here: [tracking link]. If it hasn't arrived by [date], let me know and I'll chase it up."
- Shipping countries: "We currently ship to [countries]. Shipping costs are shown in the checkout before you pay."
- Change address: "No problem – I've updated the delivery address for order [number] to [address]. You'll get a confirmation email shortly."
- Too late to change: "Unfortunately your order has already been handed to [carrier], so I can't change the address any more. You can redirect it via their tracking page: [link]."
- Delayed order: "I'm sorry your order is taking longer than expected. [Carrier] reports a delay in [region]. The new expected delivery date is [date] – I'll keep an eye on it."
- Cancel order: "Done – I've cancelled order [number]. The refund of [amount] will reach your account within [x] business days."
- Out of stock: "That item is out of stock right now. We expect it back around [date]. Want me to let you know when it's available?"
Returns and exchanges (15–20)
- Return policy: "You can return unused items within [x] days of delivery. Here's how: [link to returns page]."
- Start a return: "I've opened a return for order [number]. You'll get an email with the return label in the next few minutes – just print it and drop the parcel at any [carrier] point."
- Exchange for another size: "Happy to swap it. I've reserved [item] in size [size] for you; it ships as soon as your return is on its way."
- Refund timing: "Your return arrived on [date] – thanks! The refund of [amount] is on its way and usually shows up within [x] business days, depending on your bank."
- Damaged item: "I'm really sorry it arrived damaged. Could you send me a photo of the item and the packaging? I'll send a replacement as soon as I have it."
- Outside the return window: "Your order is outside our [x]-day return window, so a standard return isn't possible. Let me see what I can do – [offer / next step]."
Payment and billing (21–26)
- Payment methods: "We accept [payment methods]. You choose in the checkout."
- Invoice copy: "Here's the invoice for order [number]: [link]. You can also download all invoices from your account under [path]."
- Change billing details: "I've updated the company name / VAT ID on your account. Future invoices will show the new details. Want me to reissue the last one too?"
- Payment failed: "It looks like the payment didn't go through. That's usually an expired card or a bank limit. You can retry here: [link]."
- Double charge: "Thanks for flagging this. I can see [two charges / a pending authorisation]. [The second one will disappear within x days / I've refunded it]."
- Discount code doesn't work: "Sorry about that! The code [code] [has expired / applies to x only]. I've [applied the discount manually / sent a new code]."
Product and technical questions (27–34)
- Point to a help article: "Great question – this guide walks you through it step by step: [link]. Let me know if anything's unclear."
- Ask for steps to reproduce: "Sorry you're running into this. Could you tell me what you clicked just before it happened, and which browser and device you're using?"
- Clear cache: "Could you try a quick refresh with Ctrl+Shift+R (Cmd+Shift+R on Mac), or open the page in a private window? That fixes most display problems."
- Known issue: "Thanks for reporting this – it's a known issue and our team is working on a fix. I'll message you here as soon as it's live."
- Escalate to the team: "I've passed this to our [tech / product] team with all the details. I'll get back to you by [time/day] at the latest."
- Feature request: "Thanks for the suggestion! I've added it to our feature list. I can't promise a date, but every request is read."
- Not possible: "That isn't possible right now, I'm afraid. What usually works instead: [workaround]."
- Recommendation: "Based on what you described, I'd recommend [product], because [reason]. [Alternative] would also work if [condition]."
Accounts and login (35–39)
- Password reset: "You can set a new password here: [link]. The email can take a minute – check your spam folder if it doesn't show up."
- Locked account: "For security reasons your account was locked after several failed logins. I've unlocked it – please reset your password via [link]."
- Change email: "I can change the email on your account. For security, please confirm by replying from your current address [email]."
- Delete account: "I can delete your account and all related data. Just confirm that you'd like to go ahead – this can't be undone."
- Verify identity: "Before I can share account details, I need to confirm it's you. Could you tell me [verification detail]?"
Complaints and difficult moments (40–45)

- Acknowledge frustration: "I completely understand why that's frustrating, especially after [situation]. Here's what I'm doing right now:"
- Goodwill gesture: "As a thank-you for your patience, I've [added a credit of x / refunded the shipping / sent a voucher]."
- Calm boundary: "I want to help you with this. To do that, I need us to keep the conversation respectful. Here's where things stand:"
- Need to check internally: "I don't want to give you a wrong answer, so I'm checking with my colleague. You'll hear from me by [time]."
- Handover to a colleague: "I'm handing you over to [name], who looks after [topic]. They can see our whole conversation, so you don't need to repeat anything."
Closing the conversation (46–50)
- Anything else? "Is there anything else I can help you with?"
- Close after solving: "Glad that's sorted! If anything else comes up, just write here – we're happy to help."
- No reply from the customer: "I haven't heard back, so I'll close this conversation for now. Just reply here anytime and it reopens."
- Ask for a rating: "If you have a second, I'd love to hear how this chat went – it helps us get better."
- Thank you: "Thanks for your patience and for being a customer, [name]. Have a great [day/weekend]!"
How to organise saved replies
Name them so they're quick to find
Give every saved reply a short, memorable keyword: delivery, tracking, return, invoice, reset. Your team will type the keyword, not search through a list.
Group them by topic
Tags like Orders, Returns, Billing and Tech help new teammates find the right answer and keep the list tidy as it grows.
Review them regularly
Prices, delivery times and policies change. Put a recurring date in the calendar and check every reply that contains a number or a link.
Turn the most-used ones into help articles
If a saved reply is used every day, the answer belongs in your help center too. Customers find it themselves, and an AI agent can answer from it – see chatbot vs. live chat for when that makes sense.
Saved replies in asktrix
In the asktrix shared inbox, saved replies are available from the Start plan. You create them under Settings → Conversations → Saved replies with a keyword, an optional tag and the text. In any chat or email, type / and the keyword – the reply drops into the editor, where you adjust it before sending. On the Team plan, analytics show which saved replies your team uses most, which tells you exactly which help articles to write next. See pricing for what each plan includes.
FAQ
Don't saved replies sound robotic? Only if you send them unchanged. Use them as the body of your answer and write the first line yourself.
How many saved replies should a small team have? Start with the 10–20 questions you answer most often. Add more only when you notice yourself typing the same thing again.
Saved replies or AI? Both. Saved replies give your team speed and consistency; an AI agent answers the same questions before they reach your team. Many teams start with saved replies and later turn them into help articles for the AI.
Need the very first message of a chat, too? Our live chat greeting templates cover that. Or create a free workspace and put your favourite replies to work today.
