Live chat greeting messages: 25 templates that get replies

Copy-ready live chat greeting messages for shops, SaaS, agencies and after hours – plus where each text goes in the widget and how to keep it short and human.

By asktrix team4 min read

The greeting is the first thing a visitor reads in your chat – and often the reason they type a question or close the window. A good greeting is short, sounds like a person and tells people what they can ask.

Below you'll find templates you can copy, sorted by situation, and a quick map of which text goes where in the widget.

Which texts make up a "greeting"?

In asktrix, a few separate texts work together. You'll find the first two under Settings → Chat widget → Texts & content → Greeting:

Text Where visitors see it Length
Header text The title at the top of the open widget up to 60 characters
Welcome message The first message in the conversation up to 280 characters
Launcher hint bubble A small bubble next to the closed chat button (can be switched on or off) keep it to one line
Typical reply time Below the title, e.g. "Replies within minutes" (optional) set automatically

Every text can be changed per language, so your German visitors don't get an English greeting.

Five rules for greetings that work

  1. Write like a person, not a system. "Hi, I'm Mara from the support team" beats "Welcome to our customer service portal".
  2. Say what people can ask. Visitors hesitate when they don't know whether their question "counts". Give two or three examples.
  3. Keep the header short. It's a headline, not a paragraph. Save details for the welcome message.
  4. Be honest about reply times. If you usually answer within the hour, say so. A greeting that promises "instant" help and then goes quiet does more harm than none.
  5. Match the page. A greeting on your pricing page can mention plans; on a help page it can point to articles.

Header texts (up to 60 characters)

  • Glad you dropped by 👋
  • Questions? We're right here.
  • Hi! How can we help?
  • Talk to the [Company] team
  • Ask us anything about your order

Welcome messages for online shops

  • "Hi! Questions about sizes, delivery or returns? Write us here – we usually reply within a few minutes."
  • "Not sure which product fits? Tell us what you need and we'll recommend something."
  • "Hi 👋 Looking for your order? Send us your order number and we'll check right away."
  • "Need help before you check out? We're here – just type your question."

Welcome messages for SaaS and software

  • "Hi! Questions about plans, setup or a feature? Ask away – a real person reads this."
  • "Stuck somewhere? Tell us what you're trying to do and we'll walk you through it."
  • "Hi 👋 Want to see if [Product] fits your team? Ask us anything, or book a quick demo."
  • "Found a bug or something odd? Describe what happened – screenshots welcome."

Welcome messages for agencies and services

  • "Hi! Planning a project? Tell us a little about it and we'll get back to you today."
  • "Questions about our services or prices? Write us – we answer every message personally."
  • "Hello 👋 Prefer a call? Leave your number and a good time, and we'll ring you."

When nobody is online

Honesty wins here. If you keep the widget visible after hours, the welcome message should set expectations – and ask for an email address so you can reply. Turn on Ask for email in the widget behaviour settings.

  • "We're offline right now, but your message will reach us. Leave your email and we'll reply first thing in the morning."
  • "Hi! Our team is back tomorrow at 9 am. Write your question now and we'll answer as soon as we're in."
  • "Out of office – not out of reach. Leave a message and we'll get back to you by email."

If you'd rather not show the chat at all outside working hours, use Hide when everyone is away instead.

When the AI agent answers first

With the AI agent Trix switched on (Start plan and up), the welcome message can make clear that an AI answers and a human is one message away. Visitors appreciate knowing who they are talking to.

  • "Hi! I'm Trix, the AI assistant of [Company]. I answer from our help articles – and if I can't help, I'll pass you to the team."
  • "Ask me anything about [Product]. I'll answer right away, and a human from our team takes over whenever you like."

Trix hands over automatically when a visitor asks for a person or when it finds no confident answer in your knowledge.

Launcher hint bubbles

The hint bubble next to the closed chat button should be one short line:

  • Hi 👋 Just ask us.
  • Questions? We're online.
  • Need help choosing?
  • Psst – we answer fast.

Going one step further: messages for specific visitors

A greeting is the same for everyone. On the Team plan, chat campaigns let you send a message to a segment of your contacts – for example everyone with the label "trial" – or automatically after an event that your site reports with the JavaScript API (asktrix.track("checkout_started")). Use these sparingly: one helpful message beats three pushy ones.

Quick checklist

  • Header text: short, friendly, under 60 characters
  • Welcome message: says who answers, what people can ask, how fast you reply
  • Separate texts for every language you serve
  • A plan for after-hours: hide, collect messages or let Trix answer
  • Test it before going live: Settings → Installation & integrations → Open demo page shows your widget on a sample website
